MASHATU, BOTSWANA & TIMBAVATI, SOUTH AFRICA Photo Safari, June 15–23, 2026
The present agreement between the Participant(s) and World Photo Travels (hereafter referred to as the “Organizer”), acting on behalf of C4 Photosafaris (hereafter referred to as the “Operator”), covers the booking of a photo safari from June 15, 2026, to June 23, 2026, in Mashatu Private Game Reserve (Botswana) and Timbavati Private Nature Reserve (South Africa).
This agreement is effective from the moment the deposit is paid and remains valid until June 23, 2026. The parties agree that payment obligations and any other responsibilities outlined in this agreement shall survive the termination of the contract until they are fully satisfied.
Terms of payment
- A non-refundable deposit, in the amount specified on the safari registration page and representing the land arrangement cost, is required per participant at the time of booking.
- If air travel is required and arranged by the Operator, full payment of the air travel portion (including applicable taxes) shall also be due at the time of booking.
All such payments shall be deemed part of the total fare as outlined in the booking and shall be refundable only in the event that the application cannot be accommodated. Please note that most airlines require tickets to be issued within three (3) business days of the booking date.
- The full amount due by the client is not less than twelve weeks before the date of departure. If the full amount is not paid in due time, Organizer reserves the right to treat the booking as cancelled.
- Bookings made within twelve weeks of the departure date must be paid in full immediately.
Name changes
By direct permission, and on a limited basis, name changes on a reservation can be made at a fee of USD 300 per person, but not less than 90 days before the departure.
Cancellation policy
- Deposit payment is non-refundable. This is dictated by the terms of the contract between the Organizer, Operator and Lodges*.
- 60% refund on the remaining amount if cancelled more than 150 days before arrival.
- 40% refund on the remaining amount if cancelled between 150 - 90 days before arrival.
- 0% refund on the remaining amount if cancelled 90 days or less before arrival.
- Domestic air travel arrangements, if included, are non-refundable.
*We understand that unforeseen circumstances may require you to cancel your participation in the trip. If you are able to provide a full-paying replacement participant to take over your spot, a full refund of the land arrangement (excluding air arrangements) will be issued, less a $300 rebooking fee. If you need to cancel, please notify us as soon as possible so that we may also attempt to identify a suitable replacement for your spot.
- The Organizer reserves the right to cancel the itinerary due to insufficient reservations.
- In the unlikely event that the itinerary is canceled prior to departure, the Organizer will provide a full refund of all funds collected. This refund shall constitute the full extent of the Organizer’s liability.
- The Organizer shall not be responsible for any expenses incurred by participants in preparation for the trip, including but not limited to non-refundable or penalty-bearing airline tickets, special clothing, or other trip-related expenses. Participants are expressly advised not to purchase airline tickets or make other non-refundable travel arrangements without prior written confirmation from the Organizer that the trip is confirmed.
Accommodation Policy

Single and double accommodation are available on most of our safaris.
- If you are a single traveller, we will do our best to find a suitable person to share the room or tent if you request it.
- While we make every effort to assist, we are not responsible for securing compatible travelling companions for those seeking shared accommodation.
- If a compatible roommate cannot be found, you will be placed in a single room and charged the single supplement fee.
Mandatory Insurance Coverage
- All guests must have medical, evacuation, and repatriation insurance of at least USD 200,000 per person for the entire safari. This should cover emergency medical treatment, evacuation, repatriation, personal accidents, and death.
- Guests should also have coverage for lost or damaged baggage and flight cancellations or delays. We strongly recommend obtaining travel insurance in case you are unable to join the safari.
- Clients are required to provide proof of insurance, including the insurance company name and policy number, at least 12 weeks before the start of the safari.
Health Considerations

Our photo safaris are designed to be suitable for people of average fitness and good health. At times, participants may be required to walk over uneven terrain or trails, step in and out of Land Cruiser-type vehicles, or occasionally hike short distances while carrying heavy camera equipment. If you have any concerns about your capabilities or fitness for this trip, please contact World Photo Travels before booking.
- By paying the initial non-refundable deposit, you warrant that, to the best of your knowledge, you do not have any physical or other disability that would create a risk for yourself or other participants. Once a booking has been accepted, medical circumstances will not be considered as exceptions to the cancellation policy. The Organizer and Operator assume no responsibility for medical care.
- If you sustain an injury or become ill on the photo safari, the Organizer and Operator reserve the right to continue the safari for the benefit of other participants. World Photo Travels will make every effort to assist you while minimizing interruptions to the safari. This includes you bearing the costs of your travel and associated medical expenses.
Travel Documents, Visas, and Health Requirements
- The client acknowledges that it is their sole responsibility to have all necessary travel documents, including passports, visas, and any required vaccinations, for the planned tour and itinerary. This also includes any health, medical, or other certificates required by authorities or service providers at any time.
- Clients are responsible for verifying entry requirements, visas, health regulations, and any other legal obligations for the destinations included in the safari.
- Organizer and Operator will make reasonable efforts to provide guidance or assistance regarding travel documents, visas, and health requirements. However, this assistance is at the sole discretion of the Organizer and Operator and does not guarantee compliance or suitability.
- The client acknowledges that Organizer and Operator assume no responsibility or liability for any delays, fines, denial of entry, quarantine, or other consequences arising from incomplete, incorrect, or non-compliant travel documentation.
- The client agrees to indemnify and hold harmless Organizer and Operator, their agents, employees, and affiliates from any losses, costs, damages, or expenses incurred as a result of the client’s failure to comply with travel, health, or legal requirements.
Force Majeure
- Force majeure refers to any event beyond the reasonable control of the Organizer and Operator that is extraordinary and unavoidable, including, but not limited to, natural disasters or adverse weather conditions, epidemics, pandemics, or other viral outbreaks, global health emergencies, pollution, public unrest or strikes, war, changes in laws or regulations, coercive measures by the state, or quarantine measures, which make the execution of the itinerary and services on board partially or entirely impossible. In such cases, Organizer and Operator reserve the right to postpone or cancel the safari.
- The Organizer and Operator will make every effort to propose alternative dates for the safari. All participants will receive a personal voucher for the amount paid. The voucher will be valid for 12 months from the original departure date and may be extended for an additional 12 months or redeemed for a refund.
Responsibility.
- The payment of a deposit or other payments for a reservation on this safari shall constitute consent to all the provisions contained herein.
- Operator and Organizer are not responsible for any costs or penalties relating to air transport or other services that are cancelled. The Organizer and Operator are not liable for failure to provide the services or accommodations offered to the extent that such services or accommodations cannot be provided due to force majeure or other circumstances beyond its control.
- The Organizer and Operator shall not be held liable for (a) any damage to, or loss of, property or injury to, or death of, persons occasioned directly or indirectly by an act or omission of any other provider, including but not limited to any defect in any aircraft, watercraft, or vehicle operated or provided by such other provider; and (b) any loss or damage due to delay, cancellation, or disruption in any manner caused by the laws, regulations, acts or failures to act, demands, orders, or interpositions of any government or any subdivision or agent thereof, or by acts of God, strikes, fire, flood, war, rebellion, terrorism, insurrection, sickness, quarantine, epidemics, theft, or any other cause(s) beyond their control. The participant waives any claim against Operator and Organizers for any such loss, damage, injury, or death. In the event of Itinerary change due to any unforeseen circumstances or due to force majeure Operator and Organizer are not to be held liable for any costs incurred by passengers in this case and no refunds or price adjustments are possible.
- By registering for our safari, the participant certifies that he/she does not have any mental, physical, or other condition or disability that would create a hazard for him/herself or other participants. Operator reserves the right in their sole discretion to accept, decline to accept, or remove any participant from a safari.
- The Organizer and Operator reserve the right, without penalty, to make changes in the published itinerary whenever, in their judgment, conditions warrant, or if they deem it necessary for the comfort, convenience, or safety of participants.
- Baggage and personal effects are at all times the sole responsibility of the participant.
- Participants are not permitted to bring or have any pets or animals, firearms, flammable or hazardous materials, or controlled or prohibited substances.
Acceptance of the Terms & Conditions
Acceptance of the initial services to be provided on the trip shall constitute an acceptance by the trip member of these terms and conditions. On advancement of deposit to Organizers, the depositor therefore agrees to be bound by the above-recited Terms & Conditions.
